Email Signature Guidance
To generate your email signature, you have three options: you can download the Word template to copy and paste from on the brand portal, you can use this email signature generator tool, or you can copy and paste from the samples on the brand portal.
Guidelines, Standards, and Requirements
- The Defense Media Agency and the Department of Defense Visual Information Style Guide cite military ranks receiving periods in their abbreviated form when external communication follows the industry standard of AP style. "SM" is not a grade and should not be used.
- Do not include professional titles or post-nomials such as "MD," "PhD," "CFI," etc.
- Appending ',CAP' is not required if the content is clearly showing Civil Air Patrol in its capacity.
- Duty assignments will state the name of the unit, followed by the duty position, without a comma. Unit names may be abbreviated in accordance with this guide.
- You may only list two duty assignments recorded in eServices; organize assignments from highest to lowest organizational level. Do not list certifications, accomplishments, special activity assignments non-Civil Air Patrol titles, quotes, etc.
- No disclaimer, FOUO statement, motivational quote, etc. may be appended to the signature block unless required by law or when operating under CAP Sensitive or Classified Mission Programs.
- Other than changing the text to be specific to your details, do not alter the signature in any way. This includes font type.
- Encampment commanders and commandant of cadets, NCSA and NFA activity directors and deputies, are now available as duty positions - encampment commanders and commandants are assigned at the wing level, and national activities (NCSAs and NFAs) are assigned at the national-level with CAP/CP
