This tool fills in the official templates from CAP’s publications management page, so the layout, fonts, and spacing match the standard exactly.
- Choose a business letter, for people outside CAP, or a memorandum, for correspondence within CAP.
- Enter your unit’s name and mailing address for the letterhead.
- Add your unit or higher headquarters seal or emblem, if you use one, and a subordinate unit seal beside it.
- Write the letter on this page, or leave it blank to write it in Word.
- Fill in the date and your signature block, and for a memorandum, your office symbol.
- Download the Word file and check it. Anything you left blank is a gray field to click and type over.
Your file is named for your unit and this tool, such as Texas-Wing_letterhead_memorandum.docx, so it’s easy to find in your downloads.
- Use your unit’s official name and its current mailing address.
- A subordinate unit seal is used only beside a unit or higher headquarters seal, never alone.
- Write the date as day, month, and year, such as 1 November 2026.
- Use the grade abbreviations and duty titles members use in eServices, and follow CAPP 1-2 for format and style.
